ALICE Portal – Induction Tab

This article reviews the ALICE Portal's Induction tab and how to edit, enable, and remove induction materials.

The Inductions tab is where induction documents and videos can be configured. Visitors will review this material during the check-in process. Signatures can also be requested for documentation. If visitors do not complete the induction material, they cannot complete the check-in process.

Induction Status Sorting

The induction screen has sorting options that narrow down which listings will appear in the ALICE Portal.

  • Active – Displays all active inductions.
  • Archived – Displays any inactive inductions.
  • All – Displays all created inductions regardless of their status.

Adding a New Induction

Add Induction-1

  • Name – The internal display name of the induction. This name does not appear for the visitor.
  • Type –  Use the drop-down menu to set whether the induction is a document or video.
    • Document – The visitor must review a PDF document and accept the terms before checking in.
    • Video – The visitor must review a video and accept the terms before checking in:
      • Video inductions are recommended to be shorter than 60 seconds.

      • The ideal media dimensions are 1080 x 1097 for landscape systems and 1024 x 1080 for portrait systems.

  • Order – When multiple inductions are enabled, the number in this field determines which documents or videos appear first. The lower the number, the higher the priority.

  • Source – The file location for the document or video file. The location should be accessible by the ALICE Receptionist Kiosk PC. Induction materials for cloud configuration systems are commonly hosted on ALICE’s servers.

  • Acknowledge Button Text – The text that displays on the acknowledgment button. “I Agree” is the default text.

  • Acknowledge Expires After – The number of weeks, months, or years an agreement is valid for Registered Visitors. Once the period has passed, the visitor will be prompted to re-review the induction on their next visit.

  • Always Expires – When set to "ON," the visitor must review the material on every visit, even if they have a previous record of reviewing the material.

  • Signature – When set to "ON," the visitor must provide a signature after reviewing the document.

  • Email Client – When set to "ON," the visitor will receive an email containing their signed agreement.

  • Archive this item – When set to "ON," the visitor induction will no longer be active and disabled until the induction is no longer archived.

Edit an Induction

Click the blue pencil icon in the last column of the row. A pop-up window will appear where the listing's settings can be edited.

Disabling an Induction

To disable an induction from appearing during the visitor check-in process, click the blue pencil icon in the last column of the row. A pop-up window will appear with options to change settings and edit details. Toggle “archive this item” to "On" to disable the induction. Toggle “archive this item” to "Off" to reactivate it.

Delete an Induction

Click the red trash can icon on the far-right column of the row. A pop-up window will ask for confirmation on deleting the listing from the database.

Note: This action cannot be undone. The listing will be removed from the portal. The related records will be retained.
