ALICE Mobile App – Appointment Page
This document reviews the ALICE mobile app's Appointment page and how to create, view, and delete appointments.
The Appointment page shows any upcoming appointments scheduled with ALICE Receptionist. Appointments can be scheduled using the ALICE Mobile app and through Outlook / Google Calendar and uploading an Upcoming Visitor List.
Viewing an Upcoming Appointment
When first navigating to the Appointment page, a list of upcoming appointments scheduled will appear. Your next appointment will appear at the top of the list. The appointment listings include the guest's name, the ALICE Directory the visitor will check in with, and the appointment time.
Tapping the View Detail button will pop up the Appointment Detail window.
The Appointment Detail window shows a detailed list of information about the upcoming visitor.
- Guest – The name of the visitor.
- Company – The company the visitor is a part of.
- Location – The location of the appointment.
- Directory – The ALICE Directory the visitor will check in with when they arrive. If multiple ALICE Directories are under the same Location listing in the ALICE Portal, visitors can also check in at these ALICE Kiosks.
- Scheduled Date – The day of the appointment.
- Scheduled Time – The time of the appointment.
- Check-in Code – The Appointment Code that the visitor can use for the Fast Track Check-in process.
- Summary – The appointment description.

Creating a New Appointment
New appointments can be created using the ALICE Mobile App by tapping the + icon on the Appointment page's top right corner.
Entering Visitor Information
After selecting the + button, a new page with a series of fields will appear. Populate the visitor information by tapping on each field.
- First Name (Required) – The first name of the visitor.

Last Name (Required) – The last name of the visitor.
- Email (Required) – The visitor's email address to which ALICE will send the appointment.
- Mobile Number – The visitor's mobile number.
- Company – The company the visitor is a part of.
- Location – Where the meeting will occur.
- Choose Directory – The ALICE Directory the visitor will check in with when they arrive. If multiple ALICE Directories are a part of the same Location listing on the ALICE Portal, visitors can also check in at these ALICE Kiosks.

Date – Use the calendar to select the date of the appointment. The left and right arrows at the top of the calendar will change the month.
- Select Time – Tap the start or end time to open a pop-up window that can be used to set a new start or end time for the appointment. If you prefer to type in the time, select the keyboard option in the bottom left corner of the window.

Summary – Add a summary to describe the purpose of the appointment or provide additional details.
Use the Set Appointment button to finalize the appointment settings. The visitor will receive an email informing them of their appointment and providing an Appointment Code that can be used during the Fast Track Check-in process.
Canceling an Appointment
If the appointment needs to be canceled, select the View Detail button by the appointment to open the Appointment Details window. Then, tap the Cancel Appointment button.
A pop-up will appear asking for confirmation of the cancellation. Once deleted, refreshing the page by pulling down on the screen will show that the appointment is no longer scheduled.
An email will inform the visitor that the appointment has been canceled.
